What is it?

A voluntary organisation looking after the interests of The Cloisters including the collecting of annual subscription (mainly to pay for grass cutting in public areas) looked for from each dwelling.

 

Who can be party to the association?

Dwellings which are up to date in terms of payment of annual subscription are entitled to one vote at the AGM or any EGM

 

Who runs the association?

The association is run for and by the members through a committee. This committee is elected as follows:

Four members of the association are newly elected anually at the AGM.

These four elected members co-opt a fifth member, and then collectively decide who gets the following roles:

Chairperson

Secretary

Treasurer

 

The Committee – rules

No individual can hold one post for more than two consecutive years.

Cheques are signed by Chairperson and Treasurer.

Chairperson chairs meetings.

Secretary records notes.

Treasurer is responsible for collecting annual subscriptions and paying bills.

No decision should be taken without a majority agreement of the committee.

Issues of major importance should be discussed and voted on by all members at an EGM.

The committee is newly elected annually at the AGM by being proposed and seconded by members at the meeting.

In the absence of a quorum (10 voting members) at the AGM then the committee remains in place in a ‘caretaker’ capacity until the next AGM/EGM.

A committee in ‘caretaker’ capacity can dissolve by calling an EGM, stating that the committee will dissolve and not be replaced unless a meeting with a quorum votes in a new committee.

The purpose of the committee is to take actions that generally benefit the residents of The Cloisters, in the name of The Cloisters Resident’s Association.
